1. Data controller

2. Data we collect

We may process the following categories:

• Account data: name, email, password (hash), role, and preferences.
• Workspace data: business name, industry, CRM settings, products, and automations.
• Lead and contact data you or your team import or generate on the platform.
• Technical data: logs, IP address, session identifiers, usage metrics, and errors.
• Billing and subscription data: plan, payment status, customer and transaction identifiers. Card and payment data is collected by Lemon Squeezy as Merchant of Record; we do not store full card numbers.
• Analytics and marketing data, when corresponding scripts are active: cookie or pixel identifiers, pages visited, conversion events, referrer, device type, browser, language, and approximate location derived from IP.
• AI-processed content: messages, notes, instructions, audio transcripts, lead data, and other text you submit or generate when using Autopilot, copilot, classification, or AI-assisted extraction features.

3. Purposes and legal bases

We process data to:

• Provide, maintain, and improve the contracted service.
• Authenticate users and ensure platform security.
• Handle support, incidents, and operational communications.
• Process subscriptions and contractual obligations through our Merchant of Record.
• Comply with legal obligations and respond to valid requests.
• Measure audience, performance, conversions, and site or app usage when analytics is enabled.
• Analyze aggregated usage to improve features, where lawful.

4. Use of artificial intelligence

Taavy is an AI-based product. We use language models, automatic classification, transcription, data extraction, and other machine learning techniques to provide features such as Autopilot, sales copilot, message drafting, intent classification, audio transcription, and information extraction.

These features may involve automated or AI-assisted decisions about commercial content (for example, prioritizing leads, suggesting replies, or classifying intent). We do not use AI to make legal-effect automated decisions similar to credit scoring on end consumers; the user retains supervision and final responsibility for sends and commercial actions.

To provide these features, we may send relevant content to third-party AI model providers acting as processors, currently including OpenAI, LLC. We share only the information strictly necessary to perform the requested function.

Data sent to AI providers is used solely to generate the response or action requested within the service. We do not authorize those providers to use your content to train general-purpose public models when the provider offers a contractual opt-out; we use available enterprise or API settings to limit that use.

AI-generated outputs may contain errors, inaccuracies, bias, or inappropriate content. You must review them before sending them to third parties or relying on them for commercial, legal, or compliance decisions.

You are responsible for informing your end contacts and obtaining the necessary legal bases when you use AI to process their personal data, especially in automated messages or integrations with WhatsApp, Meta, or other channels.

5. Analytics, pixels, and tracking

When active, we may use Google Analytics (Google LLC), Meta Pixel (Meta Platforms, Inc.), and optionally HubSpot (HubSpot, Inc.) on public pages or in the application, depending on administrator configuration.

These tools may install cookies, device identifiers, or pixels and receive technical browsing, interaction, and conversion data. Meta Pixel and Google Analytics may be used for campaign measurement, remarketing, or attribution, subject to active configuration and applicable law.

You can manage cookie preferences in your browser and use Google and Meta opt-out mechanisms described in the Cookie Policy.

6. Sharing with third parties

We share data only with providers that help us operate Taavy (hosting, transactional email, AI, analytics, infrastructure) under confidentiality and processing obligations.

Lemon Squeezy (Lemon Squeezy, LLC) acts as Merchant of Record for payments, billing, taxes, and refunds. We share with the MoR the data necessary to process your purchase (for example, email, plan, country, and account identifiers). Payment data processing by the MoR is governed by its own privacy policy.

We also share data with integrations you enable (WhatsApp, Meta, etc.); those transfers are your responsibility and subject to third-party policies.

We do not sell personal data.

7. Retention and security

We retain data while your account is active and as needed to meet legal obligations or resolve disputes.

We apply reasonable technical and organizational measures to protect information. No system is 100% secure.

8. International transfers

Your data may be processed on servers outside your country. Where required, we use appropriate contractual safeguards.

9. Your rights

Depending on your jurisdiction, you may request access, rectification, deletion, restriction, portability, or objection to processing, including AI-based processing where applicable.

10. Minors

Taavy is not directed at minors. We do not knowingly collect data from children.
